For most teams comparing zapier alternatives uk, Make is the sensible first cheaper option to assess for straightforward, non-critical workflows. Choose n8n Cloud when workflows contain many steps or branches, and stay with Zapier when a required connector and low maintenance burden outweigh modest task savings.

Power Automate deserves a shortlist when Microsoft 365 or Dynamics sits at the centre of the business. Self-hosting needs a named technical owner, while stable workflows running core operations should be assessed for direct integration before they are moved between automation platforms again.

The short answer on zapier alternatives uk

Zapier tasks, Make credits and n8n executions are not equivalent

A headline allowance cannot be compared without drawing the workflow. “10,000 tasks”, “10,000 credits” and “10,000 executions” describe different units.

For the worked examples below, we use a defined estimating model:

  • A successful standard Zapier action consumes one task. The trigger consumes zero.
  • Every Make module touched, including a billable trigger, search, iterator or action, consumes one credit.
  • One completed n8n workflow run consumes one execution, regardless of its step count.

These are planning assumptions for conventional workflows. Keep AI features, Lead Router, extended code runtime and specialist operations outside the estimate until the vendor confirms their treatment.

Polling can increase how often a trigger module runs. Iterators multiply downstream operations for every item in an array, while branches determine which path executes. Retries and manual replays can repeat billable work and may duplicate real-world actions unless the workflow uses idempotency checks.

Failed runs also need attention. A low subscription price offers little comfort if staff spend hours diagnosing partial updates, replaying jobs and correcting duplicates.

Three worked workflow calculations

These examples isolate platform usage. CRM subscriptions, email-provider charges, AI models, enrichment services and other third-party APIs remain separate.

1. Two-action lead workflow

Assume 1,000 monthly form submissions. Each creates a CRM record and sends a confirmation email.

Platform modelCalculationMonthly usage
Zapier1,000 × 2 actions2,000 tasks
Make1,000 × 3 modules, including trigger3,000 credits
n8n1,000 completed runs1,000 executions

This is the type of straightforward workflow where Zapier vs Make can be assessed mainly through connector quality, maintainability and the live plan price.

2. Five-action sales handoff

Assume 1,000 monthly runs with five standard actions after the trigger. The workflow might create records, assign ownership, update a pipeline, notify staff and send an email.

Platform modelCalculationMonthly usage
Zapier1,000 × 5 actions5,000 tasks
Make1,000 × 6 modules, including trigger6,000 credits
n8n1,000 completed runs1,000 executions

Any enrichment request or email-provider charge sits outside these figures. That separation matters because moving the orchestration layer will not remove third-party API costs.

3. Branched AI workflow

Assume 1,000 inputs. Four actions run for 60% of inputs, six for 30% and nine for 10%.

The weighted action count is (600 × 4) + (300 × 6) + (100 × 9), producing 5,100 actions. Under our model, Zapier uses 5,100 tasks, Make uses 6,100 credits after adding one trigger module per input and n8n uses 1,000 executions.

This is where Zapier vs n8n and Make vs n8n become more interesting. Execution pricing can favour n8n as paths grow, although AI model calls and provider fees still need their own budget.

Compare the full cost alongside the subscription

Zapier pricing UK searches can create currency confusion because its global public page presents USD prices. Avoid a fixed sterling conversion in a business case. Confirm the invoice currency, exchange method, VAT treatment and card or bank charges that will apply to the purchase.

Exhaustion behaviour matters as much as the allowance. When Zapier reaches its task limit, runs are held rather than discarded unless eligible pay-per-task billing is enabled. On paid plans using that facility, Zapier says workflows stop at a maximum usage level equal to three times the plan limit.

For Make, confirm the live credit allowance, what happens at exhaustion, the cost of extra capacity and the renewal behaviour in the order terms. The sourced n8n pricing establishes execution-based charging, though it does not establish overage handling. Require that answer in the current contract rather than assuming every plan behaves alike.

Then add the costs hidden outside the pricing page: workflow maintenance, staff investigation time, monitoring, duplicate correction and the expected impact of a missed run.

Self-hosted n8n moves costs from licences to operations

n8n Community Edition should not be treated as unrestricted conventional open-source software. Its licence guidance permits free internal business workflows when only people inside the organisation create or edit them. A commercial licence can be required when external users configure workflows.

Self-hosting transfers responsibility for:

  • Deployment and security updates
  • Credentials and secret rotation
  • Monitoring, queues and alerting
  • Database maintenance and backups
  • Scaling and capacity planning
  • Incident response and disaster recovery

An n8n self hosted deployment can run on UK infrastructure. That controls only part of the data path. Check the locations of application servers, databases, logs, backups, AI providers and every connected service.

Self-host when somebody owns those production responsibilities and the control is valuable. Otherwise, n8n Cloud may have a lower operational cost even with a visible subscription.

The UK buyer’s checklist: data, contracts, currency and VAT

If an automation provider processes personal data on your behalf, UK GDPR requires a binding controller-processor contract containing Article 28 terms. Review subprocessors, security commitments, deletion terms and breach procedures rather than accepting a region label as sufficient.

The ICO updated its international-transfer guidance on 15 January 2026 and now sets out a three-step test for identifying restricted transfers. A UK or EU execution region does not answer where support access, subprocessors and backups operate.

For each candidate, record:

  • Where payloads, execution logs, credentials and backups reside
  • How long each category is retained
  • Who can access production data
  • Whether sensitive fields can be redacted
  • How deletion requests propagate into logs and backups

Finally, compare invoice currency and whether the advertised price excludes VAT. GOV.UK says the reverse-charge rule applies when a UK business buys services from outside the UK, subject to exceptions for certain services. Confirm the accounting treatment with whoever handles your VAT returns.

When a custom integration beats Zapier, Make or n8n

A custom integration deserves a cost model when the workflow runs a core operation, volume is predictable, billing grows faster than business value or the same logic is duplicated across several automations. It also becomes relevant when failures require automated recovery or a complete audit trail.

No-code tools become strained when the requirement includes staff-facing screens, complex permissions, transactional updates, idempotency, version-controlled logic and automated tests. Those capabilities often belong in a small web application or service built around the underlying APIs. Our custom web application work and AI development service cover that surrounding software as well as the integration itself.

Use a break-even model over 12, 24 and 36 months:

Platform cost = subscriptions + overages + maintenance labour + surrounding tools + expected incident cost

Custom cost = initial build + migration + hosting + support + planned changes

Custom code wins only when that comparison supports it. A simple low-volume workflow rarely justifies rebuilding a maintained connector.

A decision tree for choosing without migrating twice

Our selection path for zapier alternatives uk is straightforward:

  1. Stay with Zapier when workflows are simple, volume is low and an available connector removes meaningful engineering work.
  2. Test Make when the main problem is the cost of linear automation and the team can maintain its scenario model.
  3. Choose n8n Cloud when long or branched workflows show a measurable execution-pricing advantage.
  4. Self-host n8n only when production operations have a named owner.
  5. Shortlist Power Automate when Microsoft 365, Dynamics and Microsoft identity dominate the business.
  6. Commission a custom integration when a stable, high-volume process needs stronger testing, recovery, auditability or a bespoke interface.

Before migrating, run the proposed replacement against real workflow traces. Count every branch, loop and retry, then test duplicate prevention and recovery from partial failure. That evidence is worth more than any headline allowance.

Common questions

What is cheaper than Zapier?
Make is often the first cheaper alternative worth testing for straightforward workflows. n8n can offer better value for long or heavily branched processes because cloud pricing is based on executions, although the result depends on the real workflow and its external API costs.
Is Make better than Zapier?
Make can be better when reducing the cost of linear automation is the main objective and the team is comfortable maintaining scenarios. Zapier may remain the better choice when its connector removes custom development or staff already understand the existing workflows.
Is n8n free for business use?
The self-hosted Community Edition can be used for internal business workflows when only people inside the organisation create or edit them. External users configuring workflows can require a commercial licence, and the business still pays the operational cost of hosting and support.
Can I self-host n8n in the UK?
Yes, n8n can be deployed on UK infrastructure. You must also check where databases, logs, backups and connected services store or process data because the application server is only one part of the system.
What happens when I run out of Zapier tasks?
Zapier normally holds runs once the included task allowance is exhausted. Eligible paid accounts can use pay-per-task billing to continue temporarily, subject to a maximum usage ceiling.
When should I pay a developer instead of using Zapier?
Consider a developer when a stable workflow runs a core business process, has predictable high volume or needs automated tests, recovery and auditability. Custom development also makes sense when staff need a dedicated interface or the integration requires complex permissions and transactional updates.
